📸 Zoom Integration Guide

Follow these steps to add the Aura AI Scribe app to your Zoom account.

Adding the App

  1. Login or sign up at https://app.insighthealth.ai

  2. You need to be a PRO user to use Aura Scribe AI on Zoom.

  3. Go to https://app.insighthealth.ai/settings and enable the “Show Zoom Icon” toggle.

  4. Click on "Aura AI Scribe" to see the Zoom icon.

  5. Click on the Zoom icon. If Zoom is not yet integrated, you'll be redirected to the integration page.

  6. Next up, click on "Connect Zoom". This will redirect you to Zoom's authorization page.

  7. Review the permissions checklist to access recordings.

  8. All permissions are required to access the Zoom meeting recording.

  9. Click "Allow" to authorize the Zoom integration.

  10. After redirecting, click the Zoom icon again.

  11. Enter the encounter name in the provided field.

  12. Paste the Zoom Meeting Link in the designated area.

  13. Click "Start Capturing" to begin cloud recording with Aura AI.

  14. The encounter transcript will be available after the meeting ends.

  15. Click "OK" to finalize the integration process.

  16. Notice Aura AI Scribe has joined as a bot participant.

Usage

Aura AI Scribe provides two main transcription modes:

  1. Live Meeting Transcription.

  2. Recording-Based Processing.

Live Meeting Transcription

Use Case: Capture and transcribe real-time patient-provider Zoom conversations.

Steps:

  1. Schedule a Zoom meeting with cloud recording enabled.

  2. Copy the Zoom meeting link.

  3. Paste it into Aura AI Scribe at https://app.insighthealth.ai/encounters

  4. The app will generate a Zoom API signature and join the meeting as "AURA AI Scribe" bot.

  5. Transcription begins automatically.

Prerequisites:

  • Zoom account with cloud recording enabled.

  • Adequate audio quality for accurate transcription.

Recording-Based Processing

Use Case: Automatically transcribe post-meeting audio from Zoom cloud recordings.

Steps:

  1. After your Zoom meeting ends, Aura AI Scribe detects the cloud recording via Zoom webhooks.

  2. It retrieves the recording, processes it, and generates clinical notes.

  3. Notes are available in your Aura AI Scribe dashboard.

Prerequisites:

  1. Zoom account must allow cloud recording access.

  2. User must grant the necessary Zoom scopes.

Clinical Note Generation

Use Case: Automatically generate AI-powered structured clinical documentation.

Details:

  • Notes are tailored to healthcare standards and optimized for terminology used in medical conversations.

Compliance and Security

  • Fully HIPAA-compliant design for secure handling of PHI.

  • Meets government healthcare documentation guidelines.


Removing the App

To remove Aura AI Scribe from your Zoom account:

  1. Log in to your Zoom App Marketplace account.

  2. Click on Manage >> Added Apps.

  3. Locate and select Aura AI Scribe.

  4. Click Remove.

Implications of De-authorization:

  • Aura AI Scribe will no longer access your Zoom account or recordings.

  • The bot will not be able to join future meetings or process any data.

Data Handling After Removal:

  • All user data and clinical notes are securely deleted to comply with HIPAA and data privacy laws.

  • Users may request immediate deletion of all retained data by contacting support at [email protected]. Users who signed up using our self-service signup flow have the option to self-service the account deletion via the settings page.


Troubleshooting (Recommended)

Common Issues & Solutions:

Bot not joining Zoom meeting:

  1. Ensure the meeting link was pasted correctly.

  2. Verify cloud recording is enabled.

No transcription generated:

  1. Confirm that the meeting had audio.

  2. Check your dashboard for post-processing status.

Access denied errors:

  1. Ensure proper Zoom scopes are granted during app installation.
